Medical Office Manager for Holistic Clinic Everett, WA

We are an integrated clinic (acupuncture, massage, naturopathic medicine, physical medicine) looking for a qualified medical office manager to be responsible for day-to-day clinic operations. As a medical office manager, you should demonstrate excellent organizational skills ensuring steady workflows and service delivery with the ability to perform in stressful situations.

Responsibilities may include but are not limited to:
Front office management and reception duties including learning scheduling, clinic flow and processes
Supervises reception and medical assistant staff
Supervises and is responsible for patient scheduling, registration, financial counseling, medical records, data entry and processing, and cash posting functions
Supervises and is responsible for reception billing, collection, and cash posting functions
Coordinates the day to day operations of the practice
Promotes excellent customer service by all levels of the staff
Develops, implements, and maintains office policies and procedures
Interviews, hires, and trains a productive medical office team and conducts performance reviews
Maintains and manages all filing and organizational systems for the practice
Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences
Liaises with providers and staff to identify potential office dysfunctions
Arranges maintenance services as necessary
Provides informative material for patients
Ensures compliance with current healthcare regulations, medical laws and high ethical standards
Coordinates staff meetings for administrative and clinical staff
Coordinates logistics for internal and external classes, meetings and conferences
Ensures staffing is appropriate for day to day operations
Orders medical and office supplies
Coordinates with billing and finance staff on billing or purchasing issues
Maintains medical and staff records
Assist with marketing, website, and social media with training
Administers BEMER sessions as backup, with training
Reports to medical and operations directors
Assists directors and providers as needed

Education Requirements:
Knowledge of healthcare, healthcare administration, business, and accounting processes usually obtained from an Associates or Bachelors degree in Medical Assisting Administration, Business Administration, Medical Billing/Accounting, or Health Care Administration or equivalent work experience
Minimum of three years in a medical office setting
Two to three years in a supervisory or management position

Knowledge, Skills and Abilities:

Proven work experience as a medical office manager or equivalent medical and administrative with supervisory experience
Adept at EMR/EHR systems
Working knowledge of Quickbooks
Experience with health insurance - billing, pre-authorizations, pre-certifications, eligibility
Experience with other third party reimbursement systems
Fundamental knowledge of social media and internet
Knowledge of medical data, administrative, and accounting processes and principles
Ability to handle medical records discreetly and adhere to HIPAA regulations
Effective and efficient verbal and written communication skills
Knowledge of medical issues and terminology
Excellent organizational and time-management skills
Ability to switch tasks quickly and stay organized
Able to give and receive direction and constructive feedback
Dependable, self-motivated and a willingness to learn
Stress management skills
Team player mentality with ability to work independently when needed
Customer service oriented with excellent patient service skills
Ability and desire to face challenges
Experience or interest in natural medicine

Hours and Compensation:
Flexible availability Monday-Friday 8:30am-7:00pm with potential 7am Thursday morning start time
Up to 40+ hours /week
Compensation commensurate with experience and education
